To reduce confusion and misunderstanding between our dedicated team and loyal clients, we have adopted the following financial policies. We are dedicated to providing the best possible care and service to you and your animals and we regard your complete understanding of your financial responsibilities as an essential element of your animals’ care and treatment.
Payment Options
1. Payment at time of service:
- Full payment is due at the time of service unless you are a client who has been approved by ownership for terms or you have a payment plan that has been signed by you, the doctor performing the services, and our Hospital Coordinator or ownership. For your convenience we accept cash, checks, credit cards (i.e.; VISA, Mastercard, Discover and American Express), and venmo. We no longer accept pelts or trade.
- GVC requires a valid credit or debit card to be kept on file for all accounts. After 14 days with no payment on balances and no approved payment plan, GVC reserves the right to charge said card for balances with fees accrued for any declined payments.
- In the event that a check bounces, a 5% or minimum $25 fee will be issued for returned checks.
- Deposits ($100-$300 for regular urgent care, $500+ for specialty procedures/etc.) may be required for same day urgent or emergent services, as well as new account appointment booking.
2. Care Credit or Scratchpay
- Care Credit and Scratchpay offer clients financing options. GVC accepts both of these lenders. Both are subject to surcharges based on financing options.

3. Insurance
- Clients that have insurance will pay at time of service, then submit the invoices to their provider. Glenwood Veterinary Clinic will not extend terms on insured animals.
4. Glenwood Veterinary Clinic Top 40
- The Top 40 at Glenwood Veterinary Clinic is based on total payment (not billed, paid) year over year. These clients have a history of prompt payment in full before a balance is overdue by 30 days. For these clients, GVC may offer billing (pending management approval).
- The minimum payment on any account over 30 days will be calculated at 10% of total balance including fees and interest. Any account that is over 30 days with no minimum payment will incur interest at a rate of 10% monthly or minimum $19.36. Any account that pays the minimum payment late (30 days after time of service), will be subject to a $50 late fee in addition to the interest charged.
- GVC reserves the right to refuse service to any client who has an overdue account balance.

*Glenwood Veterinary Clinic reserves the right to keep an animal in hospital at the cost of the client until the client’s bill is paid in full. If a client refuses to pay, Glenwood Veterinary Clinic will accept relinquishment of the animal to the care of the business, Glenwood Veterinary Clinic, Inc. Glenwood Veterinary Clinic reserves the right to refuse service to any client with a history of late or incomplete payment.
Glenwood Veterinary Clinic reserves the right to send any account to a collections agency of GVC’s choice for balances over 90 days past due, with up to a 40% collections fee of remaining unpaid balance, plus court costs, reasonable attorney’s fees, with or without suit. All clients are required to provide either social security number and/or birthdate for all members on their account over the age of 18.
Glenwood Veterinary Clinic wants to stay in touch with you regarding your account. In order for us to service your account or to collect any amounts you may owe, we may contact you by telephone at any telephone number, including wireless telephone numbers that you have or may attain, which could result in charges to you. We may also contact you by sending text messages to any telephone numbers that you have or may attain, or e-mail using any e-mail address on your account. Methods of contact may include using pre-recorded/artificial voice messages and/or use of an automatic dialing device, as applicable. Glenwood Veterinary Clinic sends discharge and financial paperwork via email so a valid email is required when setting up an account.
